One connected fleet workflow
From dispatch to a complete Trip File
HaulVault keeps the office and assigned driver connected through one company workspace and one human-readable Trip Number.
1. Fleet access is approved
A company requests access. The HaulVault Super Admin reviews the request and can activate 90-day complimentary pilot access. No payment information is collected.
2. The company invites drivers
An authorized company user enters a driver’s name and email or phone. HaulVault creates a unique, expiring, single-use joining code. The driver signs in and joins the correct Company ID.
3. Dispatch creates the trip first
The dispatcher enters the Trip Number, assigned driver, truck, trailer, pickup, delivery, stops, appointments, references, instructions and required documents. The driver receives a simple Digital Trip Package without retyping office information.
4. The driver completes the trip package
From a phone, the driver opens the assigned trip, uploads BOL, POD, manifest, border paperwork, receipts or scale tickets, records trip expenses or layover information, and submits mileage.
5. The company verifies records
Authorized office users review document quality and mark it verified or replacement required. HR or the company verifies submitted mileage while HaulVault preserves the original submitted figure in history.
6. Reports stay useful and portable
The company can search a Trip Number, open the complete authorized Trip File, and export trip or verified-mileage reports. HaulVault does not calculate wages, taxes or payroll.
Website now, app-ready later
The current product is the HaulVault website. iPhone and Android apps are not available yet. The fleet data uses stable IDs, centralized permissions and structured records so future official apps can extend the same accounts and history instead of starting over.
